To cancel a registration: - Locate the registration you want to cancel
- The "Options" button on the registration window/preview panel will provide a drop down menu of possible operations of which one is the "Cancel Registration"
- The Cancel Registration dialog that appears (shown below) provides all relevant details including past payments on that registration.
 - This dialog allows you to refund credit card payments at the same time as marking the registration as cancelled. If you want more control over the refund amount then you should directly open the credit card payment and perform a manual refund first.
- In many cases clubs will want to hold back an "administration fee" which reflects the cost to the club of capturing the registration. The products window provides access to an "admin fee" screen where you can define pre-determined levels of admin fees by product type, program and method of payment. If these are defined then this cancel registration dialog will show the calculated admin fee. You can also directly edit this admin fee here to over-ride the default fee.
- Another option provided here is the checkbox to "Refund charge items as well" which controls whether or not any associated charge items on the registration should/not be refunded.
- The calculated refund total will auto-adjust as you set your control parameters on admin fee and charge items.
- Three options are presented for how the refund should be handled...(a) put back on credit card (b) create a FutureCredit* (see more on this below) or (c) leave as is
- Adjustments (both debit and credit) can also be set. The default setting for adjustments is to ensure that a over-all balance of zero on the registration will be in place following a successful cancel operation.
- Comments can be added here and are optional.
- You will find adjustments are created following a successful cancellation to record the "Fee" offset and the "Admin Fee" if applicable. These credit adjustments are what provide the zero balance calculation as the original fee will always be present.
* FutureCredit is a new feature implemented June 11th, 2020 to allow a for a "credit-on-file" for a member which is automatically refunded in the form of a fees reduction on the next online registration performed by that member. This is a type of product that you "must" create within the products window. You will be able to see, report and manage these FutureCredits from the product window.
